Separation from the University

The appointment letter indicates the anticipated length of employment with the university. Fiscal Year Renewal and Hourly Intermittent employees should anticipate their appointments will automatically expire on or before the end of the period stated. No other notice will be provided unless the appointment is ended earlier. The employee is responsible for returning university property including keys and library materials and receiving clearance on all equipment charged to him/her. The five-step technology-assisted Employee Separation and Property Clearance process must also be completed at the end for all temporary assignments.

Lay Off

It is the practice of the CSU to protect the employment of tenured, permanent, and probationary employees to the fullest extent possible consistent with the preservation of a balanced educational program. Efforts are made to avoid the need for layoff of employees through proper planning and actions such as reassignments, leaves, retraining opportunities, and voluntary reductions in time worked.

Resignations

Two weeks written notice of resignation is customary.  The resignation letter is given to the employee’s appropriate administrator (the first-level manager in Management Personnel Plan to whom the employee reports). A Template for Resignation Letters is available online.

Retirement Refund

Arrangements for refund of retirement contributions may be made directly with Payroll within 15 calendar days of separation

Separation Procedures

When a staff employee voluntarily resigns from his/her employment with the University or their employment contract ends, he/she will log-on to the Faculty/Staff Separation site to initiate a five-step technology-assisted* Employee Separation and Property Clearance process. These steps include:

  1. Complete a web-based Separation Form*
  2. Complete and provide a formal Resignation Letter to the appropriate administrator (for staff this is the first-level manager in Management Personnel Plan to whom the employee reports).
  3. Complete a Notice of Separation Form and a final attendance forms (STD 634 - Absence and Additional Time Worked Report).
  4. Contact the designated departments about returning university resources and property in her/his possession and to pay any outstanding financial obligations. All property and resources must be returned to the appropriate department or to the employee’s appropriate administrator/Department Chair.
  5. Meet with the appropriate administrator or Department Chair to complete the Employee Separation Checklist.
  6. (OPTIONAL) Participate in a confidential Exit Survey and/or request Exit Interview

*If an employee cannot complete the process using a computer, she/he should contact his/her first level manager or Human Resource Services for assistance.
